1. Information We Collect

Maintenance Concierge collects the following information to provide our service:

  • Account information: Name, email address, and authentication data provided via our identity provider (Clerk).
  • Property information: Property addresses, rental details, and maintenance records you enter into the platform.
  • Contractor information: Names, phone numbers, email addresses, and service categories for contractors you add to your account.
  • Tenant information: Names and contact information submitted by tenants through the maintenance request portal.
  • Usage data: Dispatch records, voice call transcripts, SMS message logs, and service usage metrics.
  • Payment information: Billing data is processed by Stripe. We do not store credit card numbers directly.

2. How We Use Your Information

  • To provide the Maintenance Concierge service, including AI-powered issue classification, contractor dispatch via voice calls, SMS, and email, and appointment scheduling.
  • To send transactional notifications about maintenance requests, dispatch status, and appointment confirmations.
  • To process payments and manage your subscription.
  • To improve our service and troubleshoot issues.

3. Third-Party Services

We use the following third-party services to operate the platform:

  • Clerk: Authentication and user management.
  • Stripe: Payment processing.
  • Twilio: SMS messaging to contractors.
  • Vapi: AI-powered voice calls to contractors.
  • Anthropic: AI classification of maintenance issues.
  • Resend: Transactional email delivery.
  • RentCast: Rental market data and comparables.

These services process data as necessary to provide their functionality. We do not sell your information to third parties or use it for marketing purposes.

4. SMS Messaging

Maintenance Concierge sends SMS messages on behalf of landlords to two groups: contractors (for maintenance dispatch) and tenants (for repair status updates on their own rental). Both groups go through a double opt-in flow. When a landlord adds a contractor or tenant with SMS as their preferred contact method, the recipient receives a one-time opt-in confirmation message and must reply YES to confirm consent before any non-opt-in messages are sent. No unsolicited messages are sent.

Tenant phone numbers collected through the property-tenant form or the maintenance-request intake form are used only to deliver maintenance updates for that tenant's rental. They are not shared with third parties beyond the carriers (Twilio) needed to deliver the message, and they are not used for marketing.

Recipients can opt out at any time by replying STOP to any message. The opt-out is persisted and no further messages will be sent. Recipients can re-subscribe by replying START, or reply HELP for support information. Standard message and data rates may apply. Message frequency varies based on maintenance activity.

5. Data Retention & Deletion

We retain your account information for as long as your account is active. You can delete your account at any time using one of the methods below. Most deletion requests complete within a few minutes.

Self-serve: sign in and use the “Delete Account” option in Settings.

Sign in with Facebook, Google, or Apple: if you signed up with one of these providers, removing the Maintenance Concierge app from your account on Facebook/Google/Apple will automatically trigger deletion on our side.

By email: if you can’t access your account, email support@maintenanceconcierge.ai from the address on file and we’ll process the deletion within 30 days.

When an account is deleted we permanently remove your name, email, profile information, properties, contractors, tenant contact information, dispatch transcripts, and uploaded photos. Anonymized financial transaction records (with no personally identifying information) are retained for 7 years to meet US tax and accounting compliance requirements. See our Terms of Service for the refund policy that applies on cancellation.

6. Data Security

We use industry-standard security measures including encrypted connections (HTTPS), secure authentication tokens, and access controls. Payment data is handled entirely by Stripe and never touches our servers.
